The Village of Arlington Heights is seeking a proactive and detail-oriented Administrative Support Coordinator to join our Public Works & Engineering Department. This position plays a key role in coordinating administrative operations, supervising the department’s administrative staff, and providing technical and confidential support on a wide range of projects. This is an excellent opportunity to make a meaningful impact in a leadership-support role within the Village’s Public Works & Engineering Department.
The Administrative Support Coordinator is responsible for overseeing the daily operations of the Public Works & Engineering office, including phones, mail, scheduling, and visitor support. This position supervises and trains administrative staff to ensure the Public Works & Engineering Department provides excellent customer service to the Village and its residents. The Administrative Support Coordinator manages office coverage and work assignments to maintain efficient operations, and assists with the development and implementation of administrative policies, procedures, and goals.
This role is also responsible for drafting confidential correspondence, departmental reports, budget documents, social media content, and official communications to the Village Board and Village Manager’s Office. The Administrative Support Coordinator also assists with accident and injury reporting, manages resident service requests, and maintains outstanding customer service and professionalism in all interactions.
The position requires an Associate degree or completion of an equivalent certificate program, along with at least three years of progressively responsible administrative experience in a municipal setting or similar industry, including at least one year of supervisory experience. The ideal candidate will bring strong leadership and organizational skills, excellent written and verbal communication abilities, and the ability to manage multiple priorities with minimal supervision. A customer-focused approach and the ability to foster teamwork and continuous improvement among staff is essential to success in this role.
The full salary range for this position is $82,566 - $111,464, with an anticipated hiring range of $82,566 - $87,197, depending on qualifications and experience. This position includes a diverse and competitive benefits package, including health and dental insurance, paid vacation, and participation in the Illinois Municipal Retirement Fund pension plan. The normal work hours for this position are Monday - Friday from 7:00 a.m. - 3:30 p.m., for a total of 37.5 hours per week.
